# Worksite and subcontractor management: connect teams and hours

## Quick answer

Managing several sites becomes easier when each worker, shift and hour refers to an identifiable worksite. Keep contractor and subcontractor company data separate unless responsibilities and sharing are agreed. In Tuntiva, sites and assigned workers belong to a company workspace.

## Give every site an identifiable name

Similar site names lead to incorrect entries. Use a name workers recognise on a phone, adding an address or internal identifier where useful. Agree who maintains site details.

Select the same site record in time entries, worker assignments and reporting. Free-text site names can produce several versions of the same project.

## Assign workers and review responsibilities

Keep track of who works at each site and who reviews their hours. When a worker moves from Site A to Site B, make sure the new site is available and the next shift is not recorded against the old one.

Tuntiva brings sites, workers and recorded hours into the same company workspace. Roles determine what a worker, supervisor or accountant can handle.

- Clear site name and details
- Workers assigned to the site
- An agreed reviewer
- Transfers and closed sites kept up to date

## Keep company boundaries clear

A main contractor and subcontractor may need information about the same site for different purposes. Agree data sharing and checking responsibilities separately. A shared project does not itself grant access to another company's worker or payroll data.

Tuntiva supports several company workspaces, with membership and roles assigned per company. Using several companies is not the same as automatically consolidating their information into one report.

## Review site hours before reporting

Accumulated hours help compare work volume, but a total does not show profitability or completion percentage. Check the reporting period, included workers and approval status before drawing conclusions.

Worker and site information also supports preparation of construction declaration data. Check it before filing: Tuntiva does not automatically verify tax-number registration or submit declarations to the Finnish Tax Administration.

## Worked example

Mika works eight hours at Site A on Monday and seven at Site B on Tuesday. Each entry points to the correct site. Site reports show 8 and 7 hours; Mika's report for the period shows 15 hours. You do not need to retype the project name in three separate lists.

Start with one consistent site list. Link worker assignments, time entries and review responsibilities to it. Correct allocation is more useful than a large number of separate spreadsheets.

These guides describe work processes and Tuntiva features. They do not replace your company's payroll or filing instructions.
