# Timesheet approval for payroll: what to check before exporting

## Quick answer

Prepare payroll data from approved entries for an agreed period. Check workers, sites, dates and breaks before exporting. Tuntiva provides supporting reports; the actual payroll calculation takes place in your company's chosen payroll process.

## Separate recorded hours from approved hours

A worker's time entry is their report of work done. Approval is a separate review by a responsible person. Preserve this distinction in reporting: an unfinished entry does not become final just because it has a total.

Agree who reviews each team's hours and the deadline for processing the period. Accounting should know which data has been checked and which entries are still pending.

## Use a checklist before the export

Check the period and workers first, then look for missing days, open shifts and entries on the wrong site. Compare work descriptions with the supervisor's information if needed.

Overtime, allowances and other pay components require agreed payroll rules. A working time report alone does not establish that every pay component has been calculated correctly.

- Correct period and workers
- Start, end and breaks checked
- Unclear entries resolved
- Approval status confirmed
- Pay components agreed with payroll

## Give accounting one clearly defined dataset

Export after review. Tell the recipient the period, workers included and any exclusions. An Excel or PDF report can be supporting data, but confirm what their payroll system needs.

An accountant can receive their own Tuntiva role and appropriate access. Do not share the employer's credentials. Exporting a report does not imply an automatic integration with every payroll product.

## Handle changes after the export

If an entry changes after export, notify the payroll accountant. Explain what changed and whether the new report replaces the earlier version. A different filename alone may not communicate the correction.

Treat working time reports and construction declarations as different purposes. Tuntiva helps collect data but does not automatically file construction declarations in MyTax or Ilmoitin.fi.

## Worked example

A team has five entries for a selected day. Four are approved; one has no end time. Check and correct the missing data before the final export. If the report includes only the four approved entries, tell the recipient that limitation instead of presenting it as a complete team report.

A useful export starts with a reliable review. Agree the responsible person, review deadline and recipient's required report format before the first payroll period.
